MyGuideTrip is a private-tour and health-travel coordination service based in Chengdu, China. To answer your enquiry we need a small amount of information about you. This page explains exactly what that is, what we do with it, and how to get it back or have it deleted.
The short version
- We collect what you type into our enquiry form, plus basic technical data from our server logs.
- We use it to reply to you and to arrange your trip or health-travel coordination — nothing else.
- We never sell your data. We use Google Analytics 4 to count visits and Google Ads to measure the performance of our own advertising, with ad personalisation switched off inside Analytics.
- If your browser sends a “do not track” signal, our analytics does not load at all.
- Health details you choose to share are treated as sensitive and used only with your consent.
- Write to hello@myguidetrip.com at any time to see, correct or delete your information.

If you are located there and wish to exercise any of the rights in section 09, contact us at the email above — we handle those requests directly, and will designate a local representative if we are ever required to.
We handle personal information in accordance with China's Personal Information Protection Law (PIPL) and its implementing rules. Where the law of your own country gives you stronger protection — including the EU/UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act as amended (CCPA/CPRA), or comparable legislation — we honour those rights as well.
02What we collect
a) Information you give us
When you submit the enquiry form on our website, we receive the fields you fill in:
| Field | Required? | Why we ask |
|---|---|---|
| Full name | Yes | So we know who we are talking to. |
| Email address | Yes | Our primary way of replying to you. |
| Country | No | Visa-free eligibility and travel logistics. |
| Guide language | No | Matching you with a guide who speaks your language. |
| Contact channel & handle | No | Only if you prefer WhatsApp, WeChat, LINE, Telegram, Messenger or a phone call. |
| Interest (tour / health travel / both) | Yes | Routing your enquiry to the right team. |
| Preferred dates, number of travellers | No | Checking availability and preparing a realistic quote. |
| Your message | Yes | Understanding what you want from the trip — cities, interests, budget, and any needs you describe. |
Only three fields are mandatory: name, email and message. Everything else is optional, and you can leave it blank or write "prefer not to say".
b) Information we collect automatically
Like any web server, ours records a technical log entry when a form is submitted. We store:
- the IP address the request came from;
- the browser user-agent string (browser and operating system);
- the date and time of the submission.
We use these to keep the form working, to detect spam and abusive submissions, and to limit how often a single visitor can submit. We do not use them to build a profile of you and we do not try to identify you from them.
c) Your account (if you register)
You can optionally create an account to save your enquiries, submit trip or medical-travel requests, track their status, publish reviews and receive our notifications. When you do, we store:
- your email address (your login) and a password — we only keep the password in an irreversible, salted hash and can never read it;
- an optional nickname, profile photo, preferred contact channel and short bio, shown only to our team;
- the requests you submit while logged in (destination, dates, travellers, budget, message) and our replies to them;
- reviews you choose to publish (nickname, star rating and text — visible to other visitors only after we approve them);
- system notifications we send you about your requests and reviews.
You can correct your data, change your password and delete your entire account yourself on the “My account” page. On deletion your profile is erased, you are signed out everywhere, and past requests and reviews are kept only in anonymous form. Logging in sets a strictly necessary session cookie (essential for the service to work) — it is not used for tracking or analytics.
d) Information stored in your browser
We cache your display name in your browser's local storage so the site can greet you after a page refresh. Clearing your browser data removes it.
We also set two analytics cookies so we can count visits. They are listed in full, with their purpose and lifetime, in section 10.
03Health information
One of the things we help with is coordinating health travel, and our enquiry form invites you to describe your needs. If you tell us about a medical condition, a treatment you are considering (for example dental work, cosmetic treatment or surgery), medication, or any other detail about your physical or mental health, that is sensitive personal information and gets extra protection.
What this means in practice:
- We process health details only on the basis of your explicit consent, given when you submit the form.
- We use them only to understand your enquiry, to advise on suitable options, and to coordinate with a hospital or clinic if you ask us to.
- We do not use health details for marketing, profiling, advertising or research.
- We share them with a hospital, clinic or medical provider only with your consent and only as far as needed to prepare the arrangement you asked about.
- If you would rather not put medical details in the form, send us a short message without them and we will continue the conversation over email or WhatsApp instead.
You can withdraw your consent at any time — see section 09. Withdrawing it does not affect anything we did with your information before you withdrew it.
04Why we use it, and our legal basis
| What we do | Which data | Legal basis |
|---|---|---|
| Reply to your enquiry and send you a proposal | Name, email, contact handle, trip details, message | Steps taken at your request before entering into a contract |
| Prepare and deliver a booked trip or coordination service | All enquiry data, plus information you send later | Performance of a contract |
| Handle health-related details in your enquiry | Any medical information you choose to share | Your explicit consent |
| Keep the website secure and the form free of spam | IP address, user-agent, timestamp | Our legitimate interest in protecting the service |
| Understand how the website is used — visits, pages, traffic sources | Pages viewed, approximate location, device and browser type, a random identifier in a cookie | Our legitimate interest in improving the site. You can opt out — see section 10. |
| Meet accounting, tax and legal obligations | Booking and payment records | Compliance with a legal obligation |
Where we rely on legitimate interests, we have weighed them against your rights and consider that this limited technical processing does not override them. You may object — see section 09.
05Who we share it with
We keep your information inside a small team. We do not sell it, rent it, trade it, or hand it to advertising networks. We share it only in these cases:
| Who | What and why |
|---|---|
| Our infrastructure providers Alibaba Cloud (hosting) and Alibaba Mail (email delivery) | They store our website, database and mailbox, so your data passes through their systems. They act on our instructions and may not use it for their own purposes. |
| Your guide | Once you are matched with a guide, we share your name, language, dates, itinerary and any practical needs you have told us about — so the guide can prepare and meet you. |
| Partner hospitals, clinics and medical providers | Only if you ask us to coordinate care, and only the minimum information needed to check availability and prepare an estimate. We ask for your consent before doing this. |
| Google (Google Analytics 4 and Google Ads) | Google processes website visit statistics on our behalf, as our service provider, and sets the advertising cookies listed in section 10 so we can measure whether our own ads lead to enquiries. Analytics ad personalisation and Google Signals are disabled in our configuration. |
| Professional advisers and authorities | Where we are legally required to disclose information, or where it is needed to establish or defend a legal claim. |
We do not transfer your information to any third party for their own marketing. We also do not “sell” or “share” personal information as those terms are defined by the CCPA/CPRA. The Google Ads cookies described in section 10 serve only to measure and improve the performance of our own advertising.
06Where your information is stored
Our website and the enquiry database run on Alibaba Cloud servers located in Kuala Lumpur, Malaysia. Our business mailbox is provided by Alibaba Mail and hosted on Alibaba Cloud infrastructure in mainland China. Our team and our guides are based in mainland China and may access your information from there.
If you are in the European Economic Area, the United Kingdom, Switzerland or another region with data-export rules, this means your information is transferred outside your region. We take reasonable steps to keep it protected in transit and at rest, and we only transfer what is needed to answer your enquiry or deliver a service you have asked for.
Website visit statistics collected by Google Analytics 4 are kept by Google on its own infrastructure, outside China, acting on our instructions.
07How long we keep it
| What | How long |
|---|---|
| Enquiries that do not lead to a booking | Up to 24 months from our last contact with you, then deleted. |
| Enquiries that become a booking | For the duration of the trip, then as long as accounting and tax rules require (currently up to 10 years for financial records). |
| Health-related details | Deleted as soon as the purpose for which you shared them is complete, or earlier if you ask us to. |
| Server logs (IP, user-agent, timestamp) | Held with the enquiry record, then removed with it. |
| Account data (email, nickname, photo, contact, bio) | Until you delete your account — deletion is self-service on the “My account” page and takes effect immediately. |
| Your requests and our replies | Kept after account deletion only in anonymous form, for as long as accounting and tax rules require. |
| Reviews | Until you ask us to remove them or delete your account (then kept only in anonymous form). |
You can ask us to delete your information sooner — see section 09.
08How we protect it
- The website and all form submissions travel over encrypted HTTPS connections.
- Enquiry data is written to a database that only our service account can read, on a server accessible only to us.
- Server access uses key-based authentication only — password logins are disabled — and is restricted to the people who need it.
- The form has anti-spam and rate-limiting measures built in.
- Account passwords are stored only as irreversible salted hashes; login sessions use secure, HttpOnly cookies, and changing your password signs out your other devices.
No system is perfectly secure. If a breach ever affects your information, we will notify you and the relevant authority without undue delay where we are legally required to do so.
09Your rights
Subject to where you live, you have the right to:
| Right | What it means |
|---|---|
| Access | Ask for a copy of the personal information we hold about you. |
| Correction | Have inaccurate or incomplete information put right. |
| Deletion | Ask us to erase your information, for example when you withdraw consent or there is no longer a reason to keep it. If you have an account, you can delete it yourself at any time on the “My account” page. |
| Restriction & objection | Ask us to pause, or to stop, a particular use of your information. |
| Portability | Receive the information you gave us in a structured, machine-readable file. |
| Withdraw consent | Take back consent at any time — especially for health details. Nothing already done becomes unlawful. |
| Complain | Complain to us, or to the data protection authority in your country. |
To exercise any right, email hello@myguidetrip.com with the words “Privacy request” in the subject line. We answer within 30 days. To protect you we may ask you to confirm your identity — usually by replying from the email address you used to contact us. Exercising your rights is always free.
If you are in the EU/UK and are unhappy with our response, you may complain to your national data protection authority. In China you may complain to the Cyberspace Administration of China or another competent authority.
10Cookies and local storage
We keep tracking to a minimum. We run no social-media pixels and no cross-site profiling. We use two Google services: Google Analytics 4 to count visits and see which pages are useful, and Google Ads to measure whether our own advertising leads to enquiries — and, where applicable, to show our ads again to people who have already visited this site.
Analytics cookies
| Cookie | Set by | Purpose | Lifetime |
|---|---|---|---|
_ga | Google Analytics 4 | Tells one visitor apart from another. | Up to 2 years |
_ga_<container-id> | Google Analytics 4 | Keeps the state of the session for your visit. | Up to 2 years |
Advertising cookies (Google Ads)
| Cookie | Set by | Purpose | Lifetime |
|---|---|---|---|
IDE / __gads | Google Ads | Measures ad performance and, where applicable, keeps our own ads relevant for returning visitors. | Up to 13 months |
_gcl_au | Google Ads | Stores an identifier so an enquiry can be attributed to the ad that led here. | 90 days |
Google Analytics 4 does not store your full IP address: it is used only to work out an approximate location (country and city level) and is then discarded. Google Signals and ad personalisation are switched off in our configuration, so your visit is never used to build advertising audiences.
Your choices
- Do Not Track / Global Privacy Control. If your browser sends either signal, our analytics script does not load at all — no cookies, no data.
- Browser settings. You can block or delete cookies for this site at any time. The website works perfectly without them.
- Google's own opt-out. Install the Google Analytics Opt-out Browser Add-on to opt out across every site that uses it. You can also turn off Google's ad personalisation across the web at adssettings.google.com.
Local storage
The only other thing we store in your browser is local storage used by the optional account feature to keep you logged in on your own device. It stays on your device, is never sent to us, and disappears when you clear your browser data.
11Marketing
We do not run a newsletter and we do not add you to any mailing list. We contact you about the enquiry you sent us, and nothing more. If you ask us to send you suggestions, we will do so — and you can tell us to stop at any time.
12Children
Our services are intended for adults. We do not knowingly collect personal information from anyone under 16. If you are a parent or guardian and believe a child has sent us information, contact us and we will delete it. Travellers under 18 are welcome on our trips when an adult books and travels with them.
13Changes to this policy
We update this policy when our services or the law change. The version and effective date at the top of this page always show the current one. If a change materially affects how we use the information we already hold, we will tell you by email before the change takes effect.
